What every appointment reminder needs
- Your business name, so the message makes sense outside the booking thread.
- The service or appointment type, using the same name shown at booking.
- The day, full date and time, written without avoidable ambiguity.
- The location or joining details, if the customer could reasonably need them.
- One clear next action for confirming, changing or cancelling.

Calculate the deadline from the policy that applied when the customer booked. Do not write “24 hours before” if the actual deadline shown in the system could fall at a different time. A specific day and time is easier for both sides to understand.

Keep the text to the one preparation point that cannot be missed. Put detailed instructions on an accessible page and link to it rather than turning the reminder into a wall of text.

When your business makes the change, say so directly and make the remedy easy to find. Do not send a generic reminder and expect the customer to discover that the appointment has moved.

Choose a reminder sequence that matches your policy
Build the sequence around useful moments rather than sending messages for the sake of it:
- Send a confirmation as soon as the booking is complete.
- Send a reminder early enough for the customer to act within the cancellation window.
- Add a nearer reminder only when it provides useful arrival, access or preparation information.
- Send an immediate update after any change, cancellation, payment or refund.
