Changes to the privacy policy
We keep our privacy policy under regular review. This version is version 03, last updated on 14 July 2026. Previous versions can be obtained by contacting us. It is important that the personal data we hold about you is accurate and up to date. Please keep us informed if your personal data changes during your relationship with us.
2. The data we collect about you
Personal data refers to any information about an individual from which that person can be identified. It does not include anonymous data. We may collect, use, store, and transfer different kinds of personal data, grouped as follows:
- Identity Data: first name, last name, username, title, password, date of birth, gender, interests, preferences, feedback, survey responses.
- Contact Data: address, email address, and telephone numbers.
- Preference Data: your preferences regarding locations, businesses, and interactions on the Platform.
- Transaction Data: details of payments, purchases, or services received from us or vendors through the Platform.
- Technical Data: IP address, browser type, time zone setting, operating system, and device information.
- Usage Data: information about how you use our Platform, products, and services.
- Marketing and Communications Data: your preferences for receiving marketing from us and your communication preferences.
We also collect, use, and share Aggregated Data (such as statistical or demographic data). This data does not identify you directly; however, if we combine it with your personal data, we treat it as personal data.
We do not collect any Special Categories of Personal Data (e.g., race, ethnicity, religious beliefs, sex life, or health data) or any information about criminal convictions or offences.
If you fail to provide personal data
Where we need to collect personal data by law, or under the terms of a contract, and you fail to provide that data, we may not be able to fulfil our contract with you (e.g., to provide you with services). In such cases, we may need to cancel a service, but we will notify you if this occurs.
3. How is your personal data collected?
- Direct Interactions: you provide personal data when filling forms, subscribing to services, entering competitions, or providing feedback.
- Automated Technologies: with your permission, we collect Technical and Usage Data through analytics cookies and approved campaign identifiers. See our Cookie Policy for the specific storage, purposes and controls.
- Third Parties or Publicly Available Sources: we may receive personal data from third-party providers (such as analytics or payment services) or public sources (e.g., Companies House).
When you request a demo, we collect the name, work email, business name and any optional business type, team size or message that you submit. The website sends that request to QZee's private Slack lead queue so our team can respond. With advertising-measurement consent, approved UTM campaign fields may accompany the request; advertising click IDs are not included in the Slack message.
Financial data
We collect financial information, such as credit card numbers and billing addresses, to process your payments through Stripe. Stripe's privacy policy governs how they process your data. We do not store full payment details on our servers.
4. How we use your personal data
We will only use your personal data when the law allows us to. The most common uses include:
- Performance of a Contract: to fulfil the terms of a contract with you.
- Legitimate Interests: to manage our business interests, provided they don't override your rights.
- Legal Compliance: to fulfil legal obligations.
We may use your data for marketing where you have provided consent, which you can withdraw at any time. We use data to register users and provide services (performance of a contract), process orders and recover debts (performance of a contract and legitimate interests), manage our relationship with you (performance of a contract and legal obligations), respond to requested demos (steps at your request and legitimate interests), and improve the website or measure advertising only where the relevant cookie consent has been given. We do not enable personalised advertising in the website measurement setup described in our Cookie Policy.
5. Disclosures of your personal data
We may share your personal data with:
- Internal Third Parties: none.
- External Third Parties: service providers including Cloudflare for network delivery and protection, Google Analytics 4 for consented measurement, Slack for demo-lead delivery, Stripe for payment processing, and other IT providers needed to operate the Platform.
- Regulatory Authorities: as required by law.
We require all third parties to respect the confidentiality of your personal data and comply with legal standards.
Google Analytics receives measurement data only after the relevant optional choice. We do not send demo contact details or free-text form content to Google. You can review or withdraw website measurement consent through Cookie settings.
6. International transfers
Some of our third-party service providers are located outside the UK, which may involve transferring your personal data internationally. We ensure adequate protection of your data during such transfers by using legal agreements or frameworks.
7. Data security
We have implemented appropriate security measures to protect your personal data from accidental loss or unauthorised access. Only those with a legitimate business need will have access to your personal data, and they are bound by confidentiality agreements. In the event of a data breach, we will notify you and relevant authorities if required by law.
8. Data retention
We retain personal data only for as long as it is needed for the purpose for which it was collected, including legal, tax and regulatory requirements. If a demo request does not become a customer relationship, we delete it from our private Slack lead queue no later than 12 months after our most recent substantive contact, and sooner if it is no longer needed or you make a valid erasure request. Records that form part of a customer, accounting or legal relationship may typically be retained for six years after you stop using our services. In some cases, we may anonymise data for research or statistical purposes, in which case it no longer identifies you.
9. Your legal rights
You have several rights under data protection laws regarding your personal data, including the right to:
- Request access to your data.
- Request correction or deletion of your data.
- Object to processing of your data.
- Request restriction of processing.
- Request transfer of your data.
- Withdraw consent for data processing.
To exercise any of these rights, please contact us at [email protected].
10. Glossary
- Legitimate Interest: our business interest in operating and improving our services without compromising your rights.
- Performance of Contract: processing necessary to fulfil our contractual obligations to you.
- Legal Obligation: processing necessary to comply with the law.
