Switching booking systems without losing bookings
Changing systems doesn't have to mean downtime or lost clients. A practical, low-risk migration plan.
The fear that keeps people on software they've outgrown is simple: “What if I lose bookings — or clients — in the move?” It's a fair worry, but switching is very manageable if you do it in order and never leave a gap where customers can't book.
1. Export what you already have
Start by getting your data out of the old system: your client list (names and contact details), your services and prices, and any upcoming appointments. Most tools let you export a spreadsheet — keep it as your reference.
2. Set the new system up in parallel
Build your new booking page alongside the old one, without switching anything off yet. Add your services, hours, staff and payment settings, and click through a test booking yourself. Getting this right while the old system still runs means there's no pressure and no downtime.
3. Move upcoming appointments over
Re-enter or import the appointments already on the books so nothing is missed. Double-check the next couple of weeks especially — those are the ones clients are counting on.
4. Switch your booking link
When the new page is ready, update your booking link everywhere it appears — Google profile, social bios, website, email signature. This is the actual “switch”: new bookings start flowing to the new system the moment the links point there.
5. Retire the old system
Once new bookings are arriving and the last old appointments have happened, you can close the old account. Keep your exported data as a backup.
