Setting up online booking: a simple checklist
Six steps from nothing to your first online booking. No jargon, no spreadsheets — just the essentials in order.
Moving from phone-and-paper to online booking sounds like a project. It isn't. If you work through these six steps in order, you can have a booking page taking real appointments in an afternoon — without a spreadsheet in sight.
1. List your services
Start with what people actually book. For each service, note the name, how long it takes, and the price. Keep it simple at first — you can always add variations later. Accurate durations matter most, because they're what keep your calendar from over-booking.
2. Set your opening hours
Tell the system when you're open and when you're not. Block out lunch, admin time, and the days you're closed. Your availability online should match how the day really runs, so clients only ever book times you can honour.
3. Add your staff (if you have a team)
If more than one person takes appointments, give each their own calendar and the services they offer. That lets clients book the right person, and lets you see the whole venue at a glance.
4. Turn on payments
Decide whether to take a deposit or full payment at booking. Taking something up front is the single most effective way to cut no-shows, and it means money is sorted before the client even arrives.
5. Make the page yours
Add your venue name and a short description so the page looks like your business, not a generic form. This is what you'll send to clients and link from social media, so it should feel like you.
6. Share your link
Put your booking link everywhere clients look for you: your Instagram bio, your Google profile, your website, and your replies to booking enquiries. The easier it is to find, the more bookings arrive without a single phone call.
